Job Vacancy: Receptionist
The Embassy of Sweden in Mozambique represents the Swedish Government in the Republic of Mozambique. The Embassy is responsible for bilateral relations with Mozambique, Eswatini and Madagascar, with the overarching mission of preserving, protecting and developing relations.The Embassy implements the Swedish Government’s strategic orientation for the missions abroad and the government priorities in politics, promotion, development cooperation, migration and consular matters.
The Embassy of Sweden is currently seeking to recruit a Receptionist to the office in Maputo. The position is full time.
The contract is 12 months with possibility of extension, the probationary period is 1 month.
Job details:
- Manages the reception.
- Responsible for keeping the reception area and waiting room neat, representable, and welcoming for visitors.
- Responsible for all incoming calls to the Embassy switch.
- Responsible for handling incoming post, including stamping and distributing to the responsible and adequate person.
- Responsible for coordinating visitor’s entrance to the Embassy.
- Responsible for coordinating transport needs within the Embassy, including taxi.
- Responsible for coordinating the Embassy drivers.
- Coordinating maintenance works at the Embassy and diplomatic residences.
- Assists in consular cases, including to keep updated forms for consular matters.
- Responsible to register fees.
- Assists the development section with letters, in close cooperation with the responsible program officer.
- Performs other tasks when needed.
Requirements
- At least three years’ experience of administrative work preferably for an Embassy or international organization
- An academic degree in a relevant field is desirable but not a must.
- Fluency in Portuguese and English (spoken and written).
- Proficiency in using MS Office Packages (Word, Excel, PowerPoint).
- Good teamwork and coordination skills.
- Interpersonal skills to create a pleasant experience for all visitors, such as being personable and attentive.
- Comfortable multitasking and prioritizing tasks without guidance.
- Strong attendance history of punctuality
