Applying online

How to proceed (for applications on paper forms, see further down):

1. Prepare your documentation

Check which documents and personal data you require. The Swedish Migration Agency gives priority to applications that are completed in full, and you get a decision sooner.

2. Applying

Follow the Swedish Migration Agency’s instructions for applying online over the Internet. You attach documents electronically and pay the application fee using a VISA card or a MasterCard.

3. Your family member must answer questions

Your family member has to fill in a questionnaire. Once you have sent in your application, he or she will automatically receive an email with instructions. The family member must reply to the questions within two weeks.

4. Visit the Embassy

Wait for the e-mail you receive asking you to make an appointment at the Embassy. Only then will the Swedish Migration Agency have gone through both your application and your family member’s replies and have transferred your case to the Embassy.

Once you have received the e-mail from the Migration Agency, you make an appointment by contacting the Embassy, phone hours Monday, Tuesday, Thursday 14-15, phone number +380 44 494 4290, or via e-mail, visa.kiev@gov.se. The Embassy will then offer you an appointment.

When you come to the Embassy for your appointment, you have to prove your identity by showing your passport, and you will be interviewed. Children applying for a residence permit are also interviewed.

Bring along the originals of the documents you attached to your online application. In its e-mail, the Swedish Migration Agency may also have asked you to bring additional documents with you. You may need to be photographed and fingerprinted for the residence permit card you will receive if you are granted a residence permit. This also applies to children.

After the interview, your case is transferred back to the Migration Agency in Sweden. If you have neither attended the interview nor made contact with the Embassy, your case is nevertheless sent to the Swedish Migration Agency, and your application may be rejected.

5. Wait for the decision

When the Swedish Migration Agency has made a decision, you will be informed of this via e-mail. The actual decision will be sent to the person in Sweden, whom you have authorised to represent you.

6. Wait for the residence permit card

If you are granted a residence permit, a residence permit card will be issued to you. The Embassy will contact you once the card is ready to be picked up.

The card is ordered automatically if you have already been photographed and fingerprinted. If you have not been photographed and fingerprinted, you should schedule and appointment to visit the Embassy. Bring your passport.

It can take up to four weeks for the residence permit card to be made and delivered to the Embassy in Kyiv. Once the card has arrived here and you have been notified about this, you need to schedule an appointment to pick it up. You must bring your passport with you. Ukrainian and Georgian citizens who have been granted residence permit cannot enter Sweden without the residence permit card.

How to proceed:

2. Pay the application fee

If you apply on a paper form and submit the application at the Embassy, you must pay before your visit there. You must submit the receipt (in original) from the bank to the Visa Chancellery when applying for a residence permit. The Swedish Embassy has a bank account in OTP Bank for application fees. The following bank details have to be used:

You can pay the fee to any bank in Ukraine, not only OTP Bank branches. Please note that only those who submit an application on a paper form to the Embassy should pay the fee to this bank account. The fee will not be refunded in case of a rejection.

3. Present your application at the Embassy

Bring the completed application form with you, together with all the required documents and a receipt for the fee payment.

You need to book an appointment for handing in your application.

The Embassy will then send your documents to the Migration Agency in Sweden. Once the Swedish Migration Agency has started to process your case, the applicant for a residence permit will receive a notification to make an appointment for an interview at the Embassy. 

4. Visit the Embassy again – interview

The second time you visit the Embassy, after you have received details about an appointment, you will be interviewed. Children applying for a residence permit are also interviewed. If the child is too young or too immature, the person looking after the child is interviewed instead. Bring your passport to the interview.

You may be photographed and fingerprinted for the residence permit card which you will receive if you are granted a residence permit. This also applies to children.

After the interview, your case is sent back to the Migration Agency in Sweden. If you have neither attended the interview nor made contact with the Embassy, your case is nevertheless sent to the Swedish Migration Agency, and your application may be rejected.

5. Wait for the decisionThe Swedish Migration Agency’s decision will be sent to the person in Sweden whom you have authorised to represent you.

6. Wait for the residence permit card

If you are granted a residence permit, a residence permit card will be issued to you. You arrange for the card in the same way as described above under ‘Applying online’.
